Sources of Projector-generated Email
Project Email List
Some emails are sent to a project's email list. This list is maintained on a per project basis from the project info tab. The list includes anyone with the checkbox Include on Email List ticked.
To have Projector automatically compose a new email in your default email client, double-click the email button () in the Status Bar of any project.
Sources of Projector-generated Email
New User Account
Optional email to be sent to newly created user in Projector containing password and other information. More information on this can be found in the User Editor page of our online help.
Password Reset Request
Email sent to user when requesting a new password. More information on this can be found in the Getting Started Guide page of our online help. This is the only type of email sent when emails are turned off for an installation.Â
Account Info Request
Email sent to user when requesting forgotten account information. More information on this can be found in the Getting Started Guide page of our online help.
Missing Time
Email sent to resource being tracked for missing time when submitted time is less than the expected time. Tracking missing time can be enabled/disabled on a system-wide basis, this link to the System Settings Editor Time Tab explains this setting. Missing time can also be controlled on a resource-by-resource basis. This link to the Resource Editor details this feature.
Time to Approve Alerts
Projector sends email to time approvers who have time to approve. The timing of these emails is configured on the System Settings Editor Time Tab.
Rejected Time
Optional email time rejecter can have sent to resource whose time has been rejected. More on this can be found in the Time Approval Tab.
Submitted Expense
When submitting an expense report, a resource has the option to email their expense report approvers. More on this can be found near the bottom of the /wiki/spaces/docworkspace/pages/10321998.
Approved Expense
Optional email an expense report approver can send to the submitter after setting expense document to Approved status. This dialog box can be disabled by checking the 'Don't show this message again' box in the form. To re-enable this form go to File, Options..., and check the box next to the Selectable Warning "Display prompt when approving expenses on expense reports". See the Projector Options Form for more information on selectable warnings.
Request for Resource(s)
Optional email that can be sent to desired Schedulers after requesting hours and saving a project. This dialog box can be disabled by checking the 'Do not show this dialog again' box in the form. To re-enable this form go to File, Options..., and checking the box next to the Selectable Warning "Ask whether to send email notification on new or modified requests". See the Projector Options Form for more information on selectable warnings.
Booking Resource Request(s)
Optional email that can be sent by a Scheduler to a project team and/or roles after booking hours and saving a project. This dialog box can be disabled by checking the 'Do not show this dialog again' box in the form. To re-enable this form go to File, Options..., and checking the box next to the Selectable Warning "Ask whether to send email notification on new or modified bookings". See the Projector Options Form for more information on selectable warnings.
PM Booking
Optional email that can be sent by a Scheduler to a Project Manager after booking hours and saving a project.
Project Created
Email generated when a new project is created or an existing project is changed. This email will go to all users authorized to receive email related to the project (shown on the Project Info Tab). Note that the user creating the project or making the change will NOT receive the email.
Project Task Status
Optional email that can be sent (while in Time Entry) by a Resource to the project management team after updating the % complete or adding a note to a task found in a project using detailed task management.
Project Issue
Optional email that can be sent to Issue owner and/or PM staff when appropriate boxes are checked on /wiki/spaces/docworkspace/pages/10331049 within the Project Workspace.
Approved Payment Voucher
Optional email that can be sent to expense report owners. This dialog box can be disabled by checking the 'Do not show this message again' box in the form. To re-enable this form go to File, Options..., and checking the box next to the Selectable Warning "Display prompt when approving to pay expenses (existing payment voucher)".
A similar confirmation form with email options appears when approving to pay a new expense document. If this message is disabled it can be re-enabled by going to to File, Options..., and checking the box next to the Selectable Warning "Display prompt when approving to pay expenses (new payment voucher)". Budget Alert
Email sent to engagement manager and/or project management team when a pre-defined Engagement or Project-level Time or Cost budget threshold has been met. Time and/or Cost Budget alert emails can be enabled/disabled on a system-wide basis, this link to the Budget Alerts Editor explains this setting.
Budget alert emails can also be disabled/enabled depending on the stage an engagement or project is in. For example, when a project is in the closed stage budget alert emails should be disabled.
New Invoices
Optional email that can be sent to finance reviewers and/or Project Management reviewers. For more on this visit this area about Creating New Invoices
Invoice Change
Optional email that can be sent to finance reviewers and/or Project Management reviewers. For more on this visit this area about Updating Invoices
Time Entered on behalf of others
Optional email that can be sent to the person you have entered time for. For more on this visit the /wiki/spaces/docworkspace/pages/10331059. This dialog box can be disabled by checking the 'Do not show this dialog again' box in the form. To re-enable this form you will need to clear your cookies from your Internet browser.
Expense Entered on behalf of others
Optional email that can be sent to the person you have entered expenses for. For more on this visit the /wiki/spaces/docworkspace/pages/10331059. This dialog box can be disabled by checking the 'Do not show this dialog again' box in the form. To re-enable this form you will need to clear your cookies from your Internet browser.
Scheduled report request completed
This email is the result of a Projector report that was scheduled and distributed to a user(s). If the report completed successfully the email will contain a link to the report. If the report failed the email will notify the user of this. More on this feature and the related email can be found on the Report Distribution Tab.
Other sources
User's may get email notifications regarding new Projector releases and/or Projector maintenance downtimes. These settings are found in the User Profile Notifications tab.
New users to Projector signing up for a free 30-day trial Projector installation typically receive two emails- one welcoming them to Projector as the Administrator of the installation and another with their specific login information.
