Signing Up

The person in your organization who signs up for Projector becomes the first Projector user, and is automatically given permission to maintain system settings, add users, etc. During sign-up, the administrator enters basic information about your organization and adds other users. If necessary, you can give other users the same permissions, and can even revoke permissions assigned by default to the first user.
The list of questions you will need to answer at sign up include:

  • Contact name and information including an account password and account name
  • Payment information
  • The base currency you will operate in. Projector supports multiple currencies per organization, one of which is designated as the base currency.

Initial Setup

Projector comes set up with a basic configuration that works for many organizations. The default settings are:

  • First Day of Week – Determines which day Projector will start weeks on. The default is Sunday.
  • Time Increment – Determines the unit of time measure to be used in scheduling. If you already have a de facto value in your existing process, use that. The default Time Increment is 15 minutes, and may be changed from the Systems Settings admin form.
  • Client numbers are set-up to be issued automatically by Projector. The first client number issued will be C000100, increasing by 1 for each client (ex: 2nd Client is C000101).
  • Engagement numbers are set-up to be issued automatically by Projector. The first engagement number issued will be P001000, increasing by 1 for each engagement (ex: 2nd Engagement is P001001). An engagement is a group of projects performed under the same contract.
  • One rate card called Standard Rate Card. A rate card has one billing rate per job title. Titles and their rates are created on the Departments & Titles admin form. Additional rate cards may be created via the RateCards admin form.
  • One resource direct cost card (RDC) called Standard Resource Direct Cost. An RDC has one cost rate per job title. In many organizations this is the "fully-loaded" cost for each hour of time worked. Additional RDC cards may be created via the Resource Direct Costs admin form.
  • One location called Main Location. Additional locations may be created via the Locations & Holidays admin form.
  • One cost center called Main Cost Center. Additional cost centers may be created via the CostCenters & Rollups admin form.
  • Four engagement types: Billable, Sales Pitch, Training, and General Administration. Engagement types are useful for understanding how your people are contributing. Additional engagement types may be created via the Engagement Types admin form.

To set up Projector for use by your organization you'll need to complete the following steps:

  • Set up users. Use the Users admin form.
    • If you're new to Projector, the list of permissions you'll need to address in this step may be unfamiliar to you. DO NOT PANIC, as you become more familiar with Projector you can always go back and change this information.
  • Set up departments and titles. Use the Departments & Titles admin form. As a default, Projector has one department already established (named Staff) and one title (named Staffmember).
    • Projector keeps rate and cost information by title, so every new title will have rate and cost information associated with it.
    • Projector comes with one rate card (Standard Rate Card) and one resource direct cost card (Standard Resource Direct Cost). There are three approaches to setting up rates and costs to associate with each title:
      • Assign rates and costs as you create titles.
      • Ignore rates and costs while setting up titles. Set up rates and costs by editing entire rate/cost cards once all titles have been created.
      • Leave rates/costs at zero, use Projector just for scheduling, and populate rate/cost data in the future when you're ready to use Projector as a financial as well as a scheduling tool.
  • Add resources. Use the Resources admin form in the Admin Console.
  • Add clients. Use the Client Browser tab of the Projector Dashboard.
  • Add engagements and projects. Use the Project Browser tab of the Projector Dashboard.

Auto Numbering of Clients, Engagements, and Projects

Projector supports automatic numbering of clients, engagements, and projects. The choice of numbering method is currently maintained by Projector PSA technical support department, and can be changed upon request. The methods are manual, automatic, and hybrid. The default method is automatic numbering.
Manual Numbering
Your organization specifies the format for numbering and allows actual numbering to be assigned by users who maintain clients, engagements, and projects. The format can include any of the following characters:

  • A = placeholder for any letter
  • 9 = placeholder for any digit
  • ? = placeholder for any letter or digit
  • [ABC] = one of the enclosed characters where ABC is any number of characters
  • Use \ character to force A, 9, ?, [,] or \ to be treated as a literal character and not a placeholder
  • Any other character is a literal character

Automatic Numbering (the default setting)
Projector issues the numbers according to a format specified by your organization. Formats are specified by:

  • The option to have a prefix
  • A number of digits
  • The option to have a suffix
  • A starting value
  • An increment to determine how much to add to get to the next number

Hybrid Numbering
Numbers are assigned as if in Automatic Mode, but Projector allows for manual override at any time.
