What are the limitations of Mobile Expense Entry?

Mobile expense entry supports nearly all the features of standard expense entry. The following features are not included in mobile expense entry

  • Receipt uploading
  • Enter Notes
  • View payment voucher details 

I'm lost. How do I navigate the screens?

There are seven screens you will typically use. The first four are hierarchical. Navigation will typically start from the screen titled Expense Reports where you can choose to view Draft, Submitted or Approved reports. You will then drill down into the Expense Report, Expenses and Expense screens. The last three deal with creation of new items and are bulleted in the list below.

  1. Expense Reports - Navigate all of your draft, submitted or approved expense reports
    • Add Expense Report - Add a new expense report. Reachable from the Expense Reports screen.
  2. Expense Report - View top level information about an individual expense report
  3. Expenses - View all expenses on an expense report
    • Add Expense - Add a new expense. Reachable from the Expense screen.
  4. Expense - View details about an expense
    • Add Another Expense - Copy the details of an existing expense into a new one.

Expense Reports Screen

The Expense Reports screen is broken down by Draft, Submitted and Approved expense reports.  Each expense report can be composed of multiple expense items. The total displayed is the amount that will be reimbursed to the employee if all expenses are approved. 

  • Draft - expense reports with expenses awaiting submission
  • Submitted - expense reports submitted for approval
  • Approved - expense reports approved for repayment

Expense Report Screen

This screen shows high level information about an expense report.

  • List - return to Expense Reports screen
  • Name - type here to change the expense report name. The changes will be occur immediately.
  • Submit - if this expense report has draft cost cards on it then the submit button will be available.
  • Expenses - click to view the cost cards in this report
  • Delete  - if all cost cards on this expense report are still in draft status then the delete button will be available

Expenses Screen

The expenses screen shows all the cost cards on an expense report. As with the Expense Reports screen, a single checkmark will be shown if the expense is submitted and two checkmarks will be shown if the expense is approved.

  • Add Expense - Add a new cost card to this expense report.
  • Select Expense - Go to the Expense Screen

  • Expenses - Return to the expenses screen without saving changes
  • Done - Save changes
  • Delete - If the cost card is still in draft status you will have the option to delete it
  • Add Another - Create a new cost card by copying over the information from the current cost card

  • Description - Description of the expense
  • Date - Select the date field to display a quick select calendar. Today's date is shown in yellow.

  • Location - Location of expense
  • Currency - choose the expense currency. If you choose a currency other than the default you will be presented with the following screen where you can specify the exchange rate.
