QuickBooks Sync Clients
The clients tab allows you to compare Projector clients with QuickBooks customers. If anything differs, you are given the option to leave things as is or to update one of the systems. In the screenshot below you can see that the client has a different address in Projector vs. what is in QuickBooks. This is a great tool to bring your existing QuickBooks clients into a new installation of Projector. Going forward, you can add new clients you create in Projector to your QuickBooks installation.
If you run into a 3140 error about a client not existing in QuickBooks, you can use this sync wizard to identify mismatches.
Permissions and Settings
QuickBooks expects certain address formats:
- 'US' is automatically converted to 'USA'
- Some countries are not recognized by QuickBooks
- If an address is blank in Projector it will not overwrite an existing address in QuickBooks
- QuickBooks Online Edition cannot transfer extended characters (ç,é, etc) through their web services. You should use standard characters.
Field | Description |

Search String | Searches the names of clients in Projector and customers in QuickBooks. These should have exact matches between the two systems. |
Query only for Projector clients with pending AR transactions | AR transactions are automatically generated in Projector when you invoice a client. See our AR Transactions help page to learn how to view pending AR. |
Update Projector / Update QuickBooks | This is pretty self explanatory. The query window shows what is different between the two systems. When there is a difference, these two buttons are shown. Click the button to determine which system has the correct values. The information will be immediately copied to the other system. |
Display exact matches | This is useful for showing clients that are already entered into both systems |
